[*] Scope of Service:

(1) Vendor needs to provide microfilming and digitization service for construction permits.
- Requires an eye-readable format or certified imaging system with migration paths in order to destroy a record that is still within its retention period.
- Format acceptable to the State, in the current form of microfilm.
- Respondents are encouraged to respond with a competitive proposal detailing the method of document digitization that is complaint and acceptable to the City.
- All work must be capable of being tracked during all processes of archiving. Documents will be data entered into a system using some type of unique index that describes the file, the box, and the type of records.
- Prior to microfilming, all staples and paperclips will be removed, and any torn or damaged documents will be mended.
- Vendor must be capable of assisting and providing the forms needed to receive microfilm certification.
- Digital images will be exported in the required digital format, preferred .pdf file format. Indexing will include the proper document title. Other indexes will include Block/ Lot/ Address
- Microfilm rolls should then be scanned, quality controlled, indexed, and checked for indexing error. The final output will be pdf file format.
(2) All the questions must be submitted no later than November 30, 2023.
