[*] Scope of Service:

Vendor needs to provide document scanning project service.
- Firm or contractor shall use 300 dpi for those documents where it is required to meet the quality requirements. Scanning must be done in color where applicable.
- The firm or contractor shall not scan blank documents.
- Firm and contractor shall perform a consistency check on 20% of the images.
- This shall include image clarity, orientation, and accuracy.
- The county’s objective is to scan all plans and associated documents into a digital format in order to reduce the amount of physical storage space required for such plans.
- Provide scanning of records to digital image electronic format for access and records retention.
- Document scanning or digital image with indexing and proper orientation at 300 dpi. Document imaging or scanning services for large and small documents which shall include, but are not limited to:
a. Board or commission agendas and minutes.
b. Zoning case files.
c. Parcel maps.
d. Photos.
- Provide for indexing of digital records for access and conversion to the county’s content management system. Document indexing that is searchable by various criteria and clearly readable. File naming convention must contain at least the following elements as searchable criteria:
a. Case number.
b. Case type (i.e. special use, variance, appeal).
c. Owner name.
d. Permit number.
e. Address.
f. Township and section.
- The county has approximately 100 standard 15” banker’s boxes of documents to be scanned and indexed.
- Each scanned image shall have a unique file name specified by the county.
