[*] Scope of Service:

(1) Vendor needs to provide document conversion services using scanning resolution at not less than 300 dpi and not less than 200 dpi.
- An indefinite quantity agreement with a document conversion services contractor (hereinafter “contractor”) that will transport, prepare, scan, index, export/upload, and shred department documents to increase efficiency, realize cost savings, and improve data security and overall document management practices
- Contract Manager: references to the contract manager shall mean of the department of building and zoning services data group
- Document Conversion Services:
- Collect files from the basement of 111 N Front St and transport files to its facility on a scheduled basis every other month
- Pickup must take place during regular business hours
- Document Preparation
- Document Scanning
- The Contractor will deliver all scans as TIFF files, with multipage documents delivered as multipage TIFF files.
- Document Indexing: The Contractor shall index each document associated with the City’s Building and Zoning regulatory departments according to these minimum indexing.
- Provide the converted images in compliance with regulatory standards, compressed within DIP files
(2) All questions must be submitted no later than October 19, 2023.
