[*] Scope of Service:

(1) Vendor needs to provide document scanning service to scan internal capital project files, in high resolution digital form and upload them to our computer system in a centralized database, so they may be accessed by approved end users.
- An approximately work volume will be 2,100,000 total pages.
Our current capital project files contain papers varying in size from 3" X 5" to 17" X 11" (inches) with construction drawings ranging in size from 8.5" X 11" to 36" X 48" or larger.
- Some of the forms and drawings are stapled together and will have to be taken apart so the information can be scanned in properly. Most of the oversize construction drawings contained in these files are folded in order to fit in a standard size paper file, such construction drawings will need to be unfolded for the digital scanning process.
- The contractor shall possess the files for a period of no longer than one month in order to accomplish the task. No more than 250 boxes will be made available at any given time.
- There are approximately 4,500 boxes in total, sizing average is 4"W x 13"D x 11"H. Contractor shall be fully responsible to secure files while in possession. Agency anticipates that files will be returned with each delivery of final scan, contractor is responsible to ensure each delivery is returned to the same shelving units in the exact order received.
- Indexing and cataloging all documents using agency unique capital project naming convention. Contractor must include a master index and catalog of all documents using agency unique capital project naming convention. This master index shall be updated with each delivery.
- Deliver electronic copy of files on a hard drive.
- Returning the hard copy documents in the same order and fashion as was scanned, after scanning has been completed.
(2) All question must be submitted no later than October 02, 2023.
