[*] Scope of Service:

(1) Vendor needs to provide digital scanning services at scanning resolution of 300 DPI, the minimum is 200 DPI.
• Digital documents must be fully searchable,
• The preferred resolution is 300 DPI, the minimum is 200 DPI,
• Scans will be in color when the original is in color,
• Images will be output in the correct page orientation, i.e., images will be rotated to display in landscape or portrait orientation as appropriate for the text and other content to be easily readable by users from a document management system,
• Scanned images will be output with the same foreground and background tones as existed in the original document, i.e., an original page with white background and black text will be displayed in the scanned image with white background and black text,
• Contractor must ensure a secure scanning or shredding procedure,
• Contractor must confirm that any data scanned is not stored on the copiers or other equipment used to implement the scanning project.
- Convert paper records to an organized and indexed library of searchable digital files
- Transfer digital data to a media format of agency choosing
- Ensure appropriate quality assurance or quality control measures are taken
- Maintain strict chain of custody protocols throughout the transfer, scanning, and conversion phases of the project
- Destroy hard copy records upon agency approval after conversion
- Provide monthly status reports for active projects
- Digital copy of all records scanned
- Detailed index of all records scanned
(2) All questions must be submitted no later than March 10, 2023.
(3) The contract period will be for three years.
