[*] Scope of Service:

Vendor needs to provide document scanning service for scanning minutes, agendas, subdivision files including engineering design and survey plans, fire inspection plans and relevant correspondence records using scanning resolution at 300DPI in PDF file format.
- The agency requires their paper minutes, agendas, approved subdivision plans, development permits and development agreement files correspondence and other relevant documents to be scanned in multi-page PDF/A or A-1, as per the ISO 19005-1 standard.
- Text and drawings are black and white at 300 dpi.
- Approximately 5% of documents may contain photographs, therefore if colour they are required to be scanned at 300 dpi.
- For minutes and agendas each folder represents one calendar year and shall be scanned as one document and the order of the documents within each shall be maintained in the scanned record.
- The archive records need to be accessible within a reasonable timeframe during the scanning process should the municipality need to access a record.
