[*] Scope of Service:

(1) Vendor needs to provide paper to digital document scanning and digitizing services in PDF file format.
- Pick up all boxes and files from city hall, community development offices, and central square complex office and transport to secure facility.
- Prepare the documents to be scanned (un-stapling, flattening out pages, taking off paper clips or binder clips).
- Organizing files into scannable images,
- Physically scanning all files clearly and properly with no missing pages or information.
- Optical character recognition included.
- Reassemble all scanned pages properly and place back into boxes.
- Return all files to original office locations unless specified differently.
- Integration of scanned documents with Laserfiche solution to provide index retrieval search engine.
- Access to records, while in possession, must be available within a 24-hr. period.      
- Must provide a safe and secure facility to store records, while in possession, that maintains HIPAA and CJIS certification.
- Must have the ability to scan document formats from small, letter or legal size, to large format (at least 42") including microfilm, microfiche, and bound books.
- Up to 4 indexes.
- Files include but are not limited to:
 - Pics of all files at city hall and central square complex office, and community development offices
 - Pics of all plans, warranty deeds, security deeds, easements, misc. folded plans, airport, licenses and court records, annexations.
(2) All questions must be submitted no later than February 20, 2023.
