[*] Scope of Service:

(1) Vendor needs to provide paper to digital document and records digitizing and scanning services using scanning resolution at 300 DPI in pdf and OCR file format.
- to improve the retention, accessibility and retrieval of records and documents created and utilized by City staff and the public by implementing a user-friendly system that stores high quality and fully searchable digital images of documents in an organized manner within the City’s internal secure network
- Reduce manual processes and increase productivity
- scanning services for construction plans, permit documents, property files, and other documents
- scan and index all plans and documents into a digital format to reduce the amount of physical storage space required and provide longer term preservation of records.  
- Document imaging/scanning services for large and small documents which include, but are not limited to, building plan sets and drawings, maps, structural calculations, compliance documentation, engineering plans, development files, tract and parcel maps, and other documents of various sizes
- Indexing will utilize information contained on each scanned document.
- Construction plans shall be scanned as PDF/A files and tagged with address and date Metadata
- Apply optical character recognition (OCR) software against the archived documents to support full text search
- Maintain a tracking system to allow for retrieval of any document that is in process.
(2) All questions must be submitted no later than January 20, 2023.
