[B] Scope of Service:

(1) Vendor needs to provide document scanning and record management services with scanning of documents in PDF-A format.
- Blueprints must be scanned at a high resolution of 600dps to 1200dps when possible.
- To scan and index existing files and provide a document management software system.
- Document scanning services, such as scanning paper files ranging in size from index cards, letters, legal and ledger, to blueprints.
- Providing offsite scanning services for documents, blueprints, and large format documents
- Provide secure document shipping and handling from each location to their facility and return documents to each site.
- OCR (Optical Character Recognition).
- Maintain a tracking system to allow for retrieval of any document in the process.
- Ability to email records.
- Customer Front-facing portal for records requests.
- Ability to query data via a web client, thin desktop, or mobile app.
- Provide cost of optional scanner for scanning documents into the system.
- Provide training of staff on equipment and related software.
(2) A mandatory pre-bid meeting will be held on December 6, 2022.
(3) All questions must be submitted no later than December 9, 2022.
